Job Description

What to expect?

Our client is a small business made up of a close-knit team of 3 Partners, 1 Client Support and a Part Time Administrator. They are looking for someone to join the team who is hands on, would like to grow in the role and has a keen interest in working in the Professional Services sector.

Primary Functions:

To undertake general office administration functions
To oversee the coordination of events and training courses
To provide administration / project support for client engagements

Duties and responsibilities:
  • Answer calls/ take messages/ respond to queries
  • Preparing meeting rooms and greeting clients
  • Assist in preparation of agendas, meeting minutes and management reports
  • Prepare invoices, expenses claim, process credit card payments, follow up on overdue invoices
  • Events and marketing support
  • Coordinate logistics for training and events (venue, registration, catering, invoicing, printing,feedback, travel, accommodation etc.)
  • Liaise with speakers, trainers, venue providers, partners, etc.
  • Manage event ticketing
  • Coordinate monthly newsletter mail outs and updates to website with Graphic Design Contractor
This is a 12-month contract position with the intention of longer term employment. In agreement with the Administration Officer, the hours may increase/decrease from week to week over the period of the contract.

Essential skills and attributes required:
  • Computer skills with strong competency in Microsoft Office Suite and Adobe Acrobat
  • Excellent attention to detail with the ability to maintain a high level of accuracy in the delivery of professional outputs
  • Ability to organize, plan and priorities multiple tasks while working to tight deadlines
  • A flexible, friendly and proactive approach to work
  • Excellent interpersonal and communications skills, to enable professional interaction with a wide range of contacts
  • Excellent time management skills and ability to work independently with minimal supervision
  • Strong team player
  • Previous experience in an office administration and/or project support role
  • Ability to deal with sensitive information with discretion and to maintain confidentiality
  • Must be able to work flexible hours
  • Exposure to Drop box, Eventbrite, SurveyMonkey, Trello desirable
  • Some form of post-secondary training (a certificate, diploma) or a Tertiary Qualification in Business desirable
